The conception phase is of decisive importance for the success of the project. Here, it is important to develop a solution design tailored to the needs of the specialist areas, and thus to ensure a maximum user acceptance right from the start.

Building blocks for the project success

In a broad series of ECM scenarios, a media which is perceived as intuitive (paper) is also taken away from the employee and replaced by a digital media. Here, special care is already required during the definition of requirements and the conceptual design in order to ensure the user acceptance of the projected solution. Doctra has gained experience and best practices from many other successful projects, that we will gladly contribute. Furthermore, an implementation model as well as an operating model have to be selected, which on the one hand makes it possible to consider the technical requirements, and also to keep the costs for licenses, implementation and future operation within the planned framework.

Legal requirements for ECM systems

During the design of an ECM system and the associated procedures, it is imperative that the legal requirements for the storage of documents and data are fully observed.
The General Data Protection Regulation (GDPR) in particular presents companies with challenges in the long-term storage of documents and data. Personal data is subject to a fundamental requirement for discoverability ("right to information"), transferability and deletability, which must absolutely be taken into account conceptually.
