The Austrian company has been using OpenText Exstream to create and manage documents for many years. In order to meet the growing regulatory requirements of the food industry and to automate manual processes, the IT team was looking for support.

Starting Situation
König has been using the OpenText Exstream output management system for many years and was one of the pioneers in the industry. The owner-managed company was therefore able to benefit early on from the numerous functions in the field of customer communication management that OpenText Exstream offers. The company's own IT department was responsible for maintaining and, above all, further developing the system, which also supports a large number of applications at all locations worldwide.
However, the team was increasingly faced with one major challenge: The ongoing implementation of new regulations in the food industry and the associated complexity, particularly in document management and output. In order to implement the strict requirements of the legislators in various countries securely and efficiently, the expert for bakery machines was looking for professional support for the ongoing support and optimization of its output management system.
Solution
The company was looking for a partner who not only had extensive experience with the OpenText and SAP systems used, but also understood the sometimes highly complex document management and output processes: Where are documents stored? How can they be retrieved and transferred to other systems? And how can the required documents be efficiently compiled and made available depending on the export country? The experienced software and consulting specialist Doctra was able to provide the right answers to all these questions.
As soon as OpenText Exstream was integrated into the SAP system, it became clear that the bakery machine specialist had made the right choice with Doctra. Cooperation
In addition to technical expertise, Doctra also brought a solution-oriented approach in order to implement specific requirements in a targeted manner. In line with this credo, for example, the mapping of transport orders was optimized: Certain internal orders, as they occur in global production in Graz and Hungary with a total of 590 employees, were to be processed without printed documents in future. A configuration that is difficult and time-consuming to map in SAP. Doctra found a pragmatic and cost-effective solution with a filter option in OpenText Exstream.
The high requirements for declarations of conformity, which are essential in the food industry, can now also be met more efficiently with Exstream. A list with all the necessary certificates, test protocols, CAD drawings and other documents is stored in SAP for each machine and system. Exstream accesses these, retrieves the documents in their respective format from various sources such as the PDM system or the document archive and automatically creates an output including them. This means that the required documents are available reliably and promptly - either as a printout or digitally.
The further development of Exstream also pays off in customer service. Almost all documents, from repair quotations to delivery bills, can now be automatically provided with graphics or CAD drawings. This makes communication with customers much easier, as the supplied components can be identified more quickly and clearly using images. The technical implementation of these requirements was complex, as the associated drawing must first be retrieved from the PDM system and then embedded in the print job in a suitable form. Thanks to the skillful interaction between Exstream and the OpenText document management system, Doctra was able to implement this requirement efficiently and easily.
Outcome
Thanks to the further development of OpenText Exstream, König Maschinen GmbH has comprehensively automated its document processes and significantly reduced manual effort. All documents generated in SAP - from delivery bills and invoices to quotations and transport orders - are processed via Exstream and output via various channels such as paper or e-mail. The system is characterized by high flexibility, reliability and speed and contributes to a sustainable increase in quality, productivity and customer satisfaction.
