Client

König Maschinen GmbH is known worldwide for its highly specialized machines used in the bakery industry for dividing, forming and proofing dough. Founded over 55 years ago by a baker's son, the Austrian company has developed into the global market leader for machines and systems for the production of small baked goods and today exports almost 90 percent of its products all over the world.

Starting Situation

The Austrian company has been using OpenText Exstream to create and manage documents for many years. In order to meet the growing regulatory requirements of the food industry and to automate manual processes, the IT team was looking for support.

Solution

In Doctra, the Styrian innovation company found an experienced and reliable partner to implement even complex requirements quickly and precisely. Thanks to the close cooperation at eye level, numerous special cases could be realized with minimal effort - an approach that saved time and costs and at the same time met the global requirements of an internationally networked company.

Result

Thanks to further development, König now has a flexible solution in OpenText Exstream that can be quickly adapted to new regulatory requirements and national peculiarities. The close connection to the ERP and document management system ensures a high level of automation, which has significantly reduced the error rate and increased productivity. At the same time, the high reliability of the system minimizes downtimes and reduces personnel costs for support to a minimum.

Starting Situation

König has been using the OpenText Exstream output management system for many years and was one of the pioneers in the industry. The owner-managed company was therefore able to benefit early on from the numerous functions in the field of customer communication management that OpenText Exstream offers. The company's own IT department was responsible for maintaining and, above all, further developing the system, which also supports a large number of applications at all locations worldwide.

However, the team was increasingly faced with one major challenge: The ongoing implementation of new regulations in the food industry and the associated complexity, particularly in document management and output. In order to implement the strict requirements of the legislators in various countries securely and efficiently, the expert for bakery machines was looking for professional support for the ongoing support and optimization of its output management system.

Solution

The company was looking for a partner who not only had extensive experience with the OpenText and SAP systems used, but also understood the sometimes highly complex document management and output processes: Where are documents stored? How can they be retrieved and transferred to other systems? And how can the required documents be efficiently compiled and made available depending on the export country? The experienced software and consulting specialist Doctra was able to provide the right answers to all these questions.

As soon as OpenText Exstream was integrated into the SAP system, it became clear that the bakery machine specialist had made the right choice with Doctra. The two partners complemented each other perfectly: König contributed a clear understanding of its own processes and specific requirements, while Doctra impressed with its technical expertise, in-depth know-how and practice-oriented solutions. Together, they mastered even complex technological and organizational challenges.

"We work with Doctra on an equal footing. Their expertise in dealing with SAP and document processes is very valuable to us. And they always find a pragmatic solution that works, even for complex requirements.“

Alexander Lutz - CAD/PDM /Application Administrator, König Maschinen GmbH

Cooperation

In addition to technical expertise, Doctra also brought a solution-oriented approach in order to implement specific requirements in a targeted manner. In line with this credo, for example, the mapping of transport orders was optimized: Certain internal orders, as they occur in global production in Graz and Hungary with a total of 590 employees, were to be processed without printed documents in future. A configuration that is difficult and time-consuming to map in SAP. Doctra found a pragmatic and cost-effective solution with a filter option in OpenText Exstream.

Outcome

Thanks to the further development of OpenText Exstream, König Maschinen GmbH has comprehensively automated its document processes and significantly reduced manual effort. All documents generated in SAP - from delivery bills and invoices to quotations and transport orders - are processed via Exstream and output via various channels such as paper or e-mail. The system is characterized by high flexibility, reliability and speed and contributes to a sustainable increase in quality, productivity and customer satisfaction.

  • Perfect connection to the SAP system and OpenText document management for seamless integration
  • Smooth combination and provision of documents from different systems
