Starting Situation
Switzerland is the headquarter of Perlen Packaging. From there the central IT department manages all locations worldwide. Continuous innovation is a strategic success factor for the company. This includes, among other things, the digitalization and automation of as many processes as possible. A central goal is: “the paperless office” which consists of numerous individual projects.
Solution
Through consistent standardization and three core products, IT created a solid foundation for the rapid and seamless implementation of new projects. For each of the three core products, a partner takes on global responsibility. Perlen Packaging has transferred responsibility for its SAP-integrated ECM system from OpenText to Doctra. As a preferred partner, Doctra implemented multiple ECM-projects, e.g. a digital personnel file, a supplier file, a file for QM and VIM as an invoicing processing solution. Additionally, Doctra is responsible for their operation at all locations.
Result
Doctra has decisively advanced the optimization of the process landscape with OpenText solutions in collaboration with the departments. The “paperless office” has been implemented in most areas of administration. The combination of process and management consulting on the one hand and comprehensive technological support on the other, provides the foundation for short innovation cycles and the seamless, rapid implementation of additional projects. Starting Situation
As part of the CPH group, Perlen Packaging specialized in packaging films for the pharmaceutical industry from the very beginning. A strategy that pays off: The corporate group is the only system provider with a clear pharmaceutical profile. To further expand on its leading market position, Perlen Packaging relies on continuous innovation. Also by the IT-strategy the packaging specialist follows a clear course: Perlen Packaging relies on standardization with a focus on SAP, Microsoft and OpenText. The consistent digitalization and automation of processes within the framework of the paperless office offer numerous efficiency advantages from Perlen Packaging’s perspective. For the associated Enterprise Content Management area with OpenText, the company needed a reliable partner who could keep pace with the rapid innovation cycles.
Solution
Perlen Packaging commissioned Doctra to implement its ECM projects. The consulting company brought not only the required expertise in consulting and technology for OpenText and SAP but also embraced the challenge of operating in a complex, highly regulated environment. The "paperless office" project consists of numerous individual projects across various departments, including finance, procurement, quality management, and human resources.
Automatically generating and personalizing outgoing documents -i.e., filling them with data from SAP or the ECM system and archiving them – is also a crucial component of process automation in the office. With CCM (Customer Communication Module) from OpenText secure and flexible solutions can be provided for both internal communication and customer communication.
Additionally, Doctra took on the responsibility for the global operation and the further development of the OpenText solutions at all locations. The outsourcing of these tasks allows Perlen Packaging to focus on its core IT functions and develop strategic initiatives.

Collaboration
Despite the diverse applications of OpenText solutions in the SAP environment, they have one thing in common: They all count on the digitalization and innovation strategy of Perlen Packaging. To achieve the highest level of automation for all processes in administration and production, Doctra, in collaboration with the departments, focused on the standardization and optimization of the process landscape within the company right from the conceptual phase.The Doctra consultants were able to draw on numerous insights and best-practice-processes out of international projects and consult management and departments in a goal-oriented way. The ECM specialist ensured continuous compliance with industry-specific regulations, which, given the complex requirements, was sometimes an extremely challenging task.
The focus on the three core products - SAP, OpenText and Microsoft – along with a consistent orientation towards standard enables short innovation cycles and the rapid implementation of projects. That way, OpenText and SAP were rolled out at a new location in Brazil in just a few months. The high level of process digitalization proved advantageous, among other things, during the COVID pandemic. Thanks to its high level of digitalization and paperless processes, Perlen Packaging was able to quickly switch to remote work. The possibility to work decentral in a global environment provides the company with valuable flexibility.
Result
Today, the paperless office is a reality at Perlen Packaging. Doctra has successfully implemented numerous solutions based on OpenText Extended ECM (xECM). Seamlessly integrated solutions in SAP include, among others:
- The digital personnel file for sales, which collects contracts, correspondence, invoices and orders in one central location and offers a wide range of search and filter options.
- The digital supplier file for procurement, which allows for the comfortable and time-saving management oforders and contracts.
- In the area of financial accounting, OpenText Vendor Invoice Management is used for the digital management of incoming invoices. Optical Character Recognition and automated matching to orders in SAP enable Perlen Packaging to process incoming invoices paperless and efficiently.

Outlook
Following the “paperless office”, the next joint project on the agenda is the “paperless production.” In the highly regulated pharmaceutical industry, numerous ISO standards and regulations must be strictly adhered to. In digitally mapping clearly defined review and approval processes, such as the four-eyes principle and other regulatory requirements, Perlen Packaging relies on Doctra’s extensive experience with clients from regulated markets both domestically and internationally. The plan is to implement the form-based generation and archiving of documents in the HR department using OpenText Powerdocs, to achieve a higher degree of automation and legal security.
